May, 2010 Meeting Minutes

Debbie opened the meeting
Minutes were read and approved

Treasurer report
      General account has $15,163.51
      Escrow account has $1,470.07
      Basketball account has $7,697.97
Andy Lane is in the process of switching accounts over and stated that we now 
have a new general account with a balance of $6,033.23

Football Report
      Head Coaches for 2010:

Mike explained that the lease of the field discussed at the last meeting was not 
feasible for this season, but would reevaluate for next season.  Games for this 
season will played at the high school.  The High school purchased a water buffalo 
and will use their water to water the field.  Discussion took placed about the 
possibility for AYAC to aerate and fertilize the field.

Bowl games were announced:  Paul Brown Bowl is August 6, 7&8 cost is $550 per team 
which includes cheerleaders.  UC Bowl is August 7&14 the cost is $450 which also 
includes cheerleaders.  Teams who wish to participate in the Paul Brown Bowl need 
to contact Mike Williamson ASAP and teams who want to participate in the UC bowl 
need to sign up themselves.

Cheer Report
      91 cheerleaders have signed up so far
            5/6 squad has 25 girls deciding on waiting list 
            10 year olds have 24 girls
            All other squads have openings

Cheer camp is set for June 22-24 at Batavia Twn Park.  Flyers are out in the schools 
and this year it open to the community.  Deadline for Registration is June 8.

AYAC will be hosting a cheer competition on October 10.  This has the possibility to be 
a big fundraiser.  Renee is asking for everyone’s support to make it successful.   The 
high school coach contacted Renee and also has asked for support from AYAC.

Some parents have voiced concern that the cheerleaders do not know what they are cheering 
for and Renee would like to host a clinic for the girls and has asked football coaches to 
step and help teach the basics of the game on an age appropriate level.

Public Relations

Fundraising Report
      BW3 cards will be in and ready.  They will run from July 1-November 30
      Dance is set for July 30 at Hilltop.  Tickets are $20 per person
      Walk a thon will be August 20 at Veterans Park; each child is responsible for raising 
$25 in pledges or paying $25 and signing an opt-out form
      Raffle Tickets are in. They will be on sale starting September 1.  Each child is 
responsible for selling 35 tickets

Laura would like to have an updated fundraising tab on the website.

Old Business
      Mike Williamson will check with CCYFL on when the revised schedule will be released

      Practice will be at the high school.  It may be split up between 4-5 days so that teams 
stay in front of the PAC to alleviate pressure at the high school.  Coaches were given permission 
by Mike Williamson to find their own practice locations. 

New Business

      Mike Williamson made a motion to sell the Gator and buy a golf cart with a back seat to 
transport handicap persons.  The motion was seconded by Nick Bryant and a majority vote approved.  

      Mike also proposed coming up with an official policy and form to deal with hardship cases.  
Discussion took place and the matter was tabled.

      May 23 is the last sign ups at the high school pod from 1-3.  Helmets that need to be 
reconditioned MUST be turned in then.  Right now football has @ 210 registered.

      Debbie submitted her verbal resignation as President of AYAC citing personal reasons.  
It is effective immediately.
